The Challenge
Disconnected Capture Data Created Fragmentation and Limited Visibility
Before adopting GovDash, capture data lived across SharePoint folders, slide decks, OneNote files, and individual workstreams. Information was often captured in non-standard formats, making it difficult to reuse content, maintain visibility, or ensure completeness under tight timelines.
“We had capture folders, but did the information go in uniformly every time? No,” said Bob Burnett, Chief Growth Officer at OneZero.
As OneZero pursued more complex federal work, these gaps became harder to ignore:
No single source of truth for capture data
Time wasted rebuilding capture decks and chasing missing information
Gate reviews rely more on judgment than data
The biggest problem was not effort. It was fragmentation and visibility.
Solution
Centralized Capture and Accelerated Pink Draft Development
GovDash became OneZero's end-to-end platform, unifying their functions for CRM, capture planning, solutioning, and initial proposal development. Adoption was straightforward because the platform seamlessly integrated with the growth team's existing workflows.
Instead of maintaining large capture slide decks, OneZero now uses GovDash’s structured capture questions to guide solutioning and content development. Leadership can see, in real time, what information is complete, what is missing, and whether an opportunity is truly ready for the next stage in their pipeline.
GovDash also became the foundation for early proposal development. Capture data flows directly into pink draft creation, reducing rework, accelerating timelines, and improving draft quality.
“Once the information is in GovDash, it’s immediately accessible, visible, and usable for proposal development,” said Bob Burnett, Chief Growth Officer at OneZero.
Faster, Higher-Quality Pink Drafts
GovDash delivers a clear and measurable improvement in early draft speed and quality.
GovDash helped OneZero cut pink draft timelines by ~50 percent. Instead of waiting eight or nine days, teams now deliver pink drafts by day three or four, saving at least four business days on every solicitation.
Even more importantly, draft quality improved.
“That pink draft leans more toward a red draft than a pink draft,” Burnett said. “You’re getting better content, and you’re getting it faster.”
Data-Driven Gate Reviews and Team Alignment
GovDash also changed how OneZero approaches capture reviews.
Gate reviews shifted from subjective discussions to data-driven decisions. Leadership can view completion status across capture phases and make informed go/no-go decisions more quickly.
Since all capture content lives in one system, teams spend less time searching for information and more time refining solutions. Solution architects are also pushed to think more proactively and clearly about customer needs, deliverables, and value.
“Saving time matters, but reducing the risk of missing information matters more. GovDash forces solution architects to think clearly about what the customer is asking for, what we are actually delivering, and what value that translates to. It drives the right conversations early and keeps all capture and solution content in one place, which directly feeds higher-quality proposal development.”
Results
50% Faster Pink Drafts and Disciplined Capture Execution
With GovDash, OneZero scaled its growth operation without adding headcount:
50% faster pink draft development, saving at least four business days per proposal
Centralized capture and proposal data in a single system
Ability to confidently run 4 prime proposals simultaneously without adding headcount
Pursuing more complex work with heavier compliance requirements
Why GovDash?
GovDash stood out for two reasons:
First, the workflows inside the platform mirrored OneZero’s existing capture and proposal process. That meant faster adoption and less change management.
Second, GovDash was clearly built as a long-term, enterprise-grade solution, not a single-feature AI tool.
“It wasn’t going to be a point solution. It was going to be an enterprise platform,” Burnett said. “The future felt de-risked for us."
GovDash aligned with how OneZero already ran capture, from opportunity identification through transition planning, while giving them a foundation to scale.
Advice for new users:
“Don’t use it as a point solution,” said Bob Burnett, Chief Growth Officer at OneZero Solutions. “Use it as a comprehensive business development platform. Go all in.”
What’s Next
OneZero plans to expand GovDash use across additional teams, including contracts, finance, and delivery, to further formalize gate reviews and improve cross-functional decision-making.
The team is also focused on using GovDash earlier in capture to inform teaming decisions, strengthen solutioning, and increase rigor before committing resources.
